The important points, at a glance

SpaceFind connects people offering spaces with people who want to use them. Owners remain responsible for their spaces and Renters remain responsible for how they use them. SpaceFind provides the marketplace, booking and payment tools. This guide helps you find the relevant detail; the full Terms below are the legal agreement. Use the document links to move directly to a specific subject.

1. About SpaceFind and these Terms

In these Terms, “SpaceFind”, “we”, “us” and “our” mean the SpaceFind marketplace and Platform operator.

These Terms govern your access to and use of SpaceFind's website, applications, marketplace, directory, booking and scheduling tools, payments, memberships, messaging and related services (together, the “Platform”). By creating an account, listing or claiming a space, making an enquiry or booking, purchasing a plan or membership, or otherwise using the Platform, you agree to these Terms.

If you use SpaceFind on behalf of another person or organisation, you confirm that you have authority to do so. You must also read our Privacy Policy, which explains how we use personal information. Nothing in these Terms removes rights that cannot lawfully be excluded or limited.

2. Who uses SpaceFind

An “Owner” is a person or organisation that lists, claims, offers or manages a space through SpaceFind. An Owner does not have to own the freehold, but must have the authority needed to offer the space. A “Renter” is a person or organisation that browses, enquires about, visits, requests, books or uses a space. “User” and “you” mean any Owner, Renter or other person using the Platform.

Owners and Renters may act privately or in the course of a business. These Terms do not require a User to choose a permanent legal classification. Where consumer law applies to a particular transaction, the relevant statutory rights remain protected. A person may use SpaceFind in different roles at different times.

3. How the marketplace works

SpaceFind provides an online marketplace that helps Owners advertise and organise spaces and helps Renters discover, enquire about, view, book and pay for them. We may provide booking, calendar, payment, membership, contract, messaging, review and support tools to help the parties make and administer their arrangement.

Unless we expressly state otherwise, SpaceFind does not own, lease, operate, inspect, control or manage a listed space. We are not the landlord, venue operator, property manager, insurer or provider of the space. The agreement to use a space is between the Owner and the Renter. SpaceFind is not a party to that agreement merely because the Platform helped form it, processed a payment, supplied a template or supported a dispute.

We may review, verify, approve, reject, rank, pause or remove listings, but this does not transfer an Owner's responsibilities to SpaceFind and is not a guarantee of a space, Owner, Renter, activity, licence, insurance, safety standard or booking outcome.

4. Accounts, eligibility and verification

  • You must be at least 18 and have legal capacity to use the Platform and enter any agreement you make through it.
  • You must provide accurate, complete and current account, identity, contact, billing, tax and payout information, and promptly correct it if it changes.
  • You are responsible for keeping your login details secure and for activity carried out through your account. Tell us promptly if you suspect unauthorised access.
  • You must not create a misleading identity, impersonate another person, transfer an account without permission or use an account after it has been suspended.
  • We or our providers may request identity, business, ownership, authority, bank, tax, fraud-prevention or other checks. Certain listings, bookings, payouts and features may remain unavailable until required checks are complete.
  • A verification badge or completed check confirms only the particular information checked at that time. It is not an endorsement or a guarantee of conduct, financial standing, safety or suitability.

5. Listings and Owner responsibilities

Owners control the spaces they offer and are responsible for deciding whether and on what terms a booking can take place. Each Owner must make sure that their listing and operation of the space comply with law and with these Terms.

  • Provide accurate descriptions, addresses, photographs, dimensions, accessibility information, amenities, capacity, inventory, availability, pricing, taxes, booking notices, cancellation terms, access instructions, house rules and restrictions.
  • Keep the listing, calendar and availability up to date and promptly correct anything that could mislead a Renter.
  • Have the ownership, leasehold, management or other authority required to advertise and grant access to the space, including any consent from a landlord, lender, superior owner or other relevant party.
  • Obtain and maintain all permissions, registrations, licences, planning approvals, risk assessments, safety measures, accessibility arrangements and insurance appropriate to the space and accepted activities.
  • Provide a space that is lawful, safe, clean, accessible as described, reasonably fit for the accepted use and available at the confirmed time.
  • Set and apply fair, lawful and non-discriminatory terms, and comply with applicable consumer, equality, employment, licensing, fire, health and safety, data protection, tax and property requirements.
  • Honour confirmed bookings, provide reasonable access and assistance, and handle any personal information received about Renters only for the booking and in accordance with applicable law.

6. Search, ranking and listing status

Search and browse results are selected and ordered using factors intended to help Renters find suitable spaces. These may include relevance to the search, location, category and filters; availability and booking compatibility; listing quality and completeness; verification, trust and booking readiness; pricing, value and incentives; reputation and engagement; and listing freshness. Paid promotional features may add a clearly identified promotional contribution to visibility.

The relative importance of these factors can change as the Platform develops. A listing score, strength indicator, forecast, impression count or suggested improvement is guidance, not a promise of enquiries, ranking, bookings or income. We may test presentation and ranking changes to improve relevance, safety and Platform performance.

We may publish, decline, limit, pause, archive or remove a listing where information is incomplete or inaccurate, required checks are outstanding, a plan or payment requirement is not met, the space is unavailable, or we reasonably identify a legal, safety, fraud or quality concern.

7. Enquiries, viewings, bookings and agreements

An enquiry, viewing request, appointment or Booking Help request is not a confirmed booking. Unless a listing expressly offers instant confirmation, a booking request normally requires Owner acceptance. A booking is confirmed only when the Platform records it as confirmed or sends a confirmation stating that it is confirmed.

The “Booking Agreement” is the agreement between the Owner and Renter for the use of the space. It includes the confirmed booking details, price and payment route, the listing and house rules accepted for the booking, the cancellation policy displayed and accepted at booking, any booking-specific conditions, and any separate written agreement the parties validly sign.

If terms conflict, mandatory law applies first; a specific term clearly displayed and accepted for the booking takes priority over a more general listing statement; and a later signed agreement changes an earlier booking term only where it clearly says so and both parties validly agree. These Platform Terms continue to govern each User's relationship with SpaceFind.

  • Owners and Renters must check the booking details before confirmation and comply with the confirmed dates, times, duration, permitted use, capacity, guest rules, access arrangements and charges.
  • The Renter is responsible for people they invite to or allow into the space and must make sure they follow the Booking Agreement and house rules.
  • Changes are not effective merely because they are discussed. They should be accepted through the Platform where supported, or otherwise clearly agreed in writing by the Owner and Renter.
  • Recurring, membership, long-term, higher-value or higher-risk arrangements may require additional checks, payment steps, deposits, references or signed documents.

8. Prices, payments, deposits and payouts

The checkout or booking confirmation will show the price and payment route that apply, including any Owner charges, SpaceFind fees, extras, deposits and taxes that the Platform is able to calculate. You authorise SpaceFind and its payment providers to take the actions reasonably necessary to administer amounts due through the selected payment route, including authorising, collecting, holding, splitting, transferring, adjusting, refunding, reversing or recovering payments.

Online payments are processed through Stripe or another disclosed payment provider. SpaceFind provides the marketplace and facilitates the payment flow, but is not a bank or payment institution. Payment provider terms, verification and risk controls also apply. Card details are normally held by the payment provider rather than SpaceFind.

Where “Pay at the property” or another direct-payment route is selected, the Owner collects the booking amount directly. A card kept on file may support the booking process but does not by itself mean that the booking price has been paid or guarantee collection. The Owner remains responsible for lawful collection, receipts and any direct refund, while SpaceFind may retain records and collect any Platform fee due.

  • A shared-payment feature lets invited participants contribute through the Platform where offered. The booking organiser must provide accurate participant details and remains responsible for monitoring the booking's payment status and any outstanding amount shown before confirmation or the applicable deadline.
  • A booking payment and a security or damage deposit are different. The checkout will identify any deposit, pre-authorisation, capture or release arrangement that applies. Direct deposits collected by an Owner are administered by that Owner.
  • Owner payouts may require Stripe Connect onboarding, identity and bank checks, a valid payout account and satisfaction of the applicable booking and risk conditions. Payout timing can be affected by payment rails, verification, refunds, cancellations, disputes, chargebacks, reserves and provider rules.
  • We may delay, withhold, offset, reverse or recover an amount where reasonably necessary to give effect to a refund, booking change, chargeback, legal requirement, suspected fraud, payment error, debt owed to SpaceFind or payment-provider instruction.
  • You must not initiate an improper chargeback or payment dispute. This does not prevent a lawful card or statutory claim where a genuine payment issue has not been resolved.

9. Taxes, VAT and receipts

Owners are responsible for determining and meeting the tax, VAT, business rates, licensing, reporting and invoicing obligations that apply to their listings and income, unless the law specifically requires SpaceFind to collect, deduct, report or remit an amount. SpaceFind does not provide tax advice.

An Owner must state applicable tax information accurately. Where a Renter needs a VAT invoice or other receipt for the supply of the space, the Owner is responsible for providing it if legally required. SpaceFind may provide payment records for amounts processed through the Platform and may collect, verify or report seller and transaction information where required by law.

10. Cancellations, refunds, no-shows and changes

The cancellation policy displayed and accepted when a booking is made forms part of the Booking Agreement and creates the Renter's minimum refund entitlement. An Owner must not refuse or reduce a refund that is due under that policy, although an Owner may choose to provide a more generous refund. Any confirmation or evidence step in the Platform is administrative and does not give an Owner discretion to withhold an entitlement created by the accepted policy.

If no Owner cancellation policy was configured for an hourly or repeat-hourly booking, the SpaceFind Flexible Policy displayed at the time of booking applies. If no Owner cancellation policy was configured for a long-term booking, the SpaceFind Standard Long-Term Policy displayed at the time of booking applies. The exact policy version shown and accepted for the booking controls, together with any rights required by law.

  • Cancellation deadlines are measured using the time zone and timing rules shown for the booking or policy. Failing to attend or use a booking is treated according to the accepted policy.
  • Refunds include or exclude Platform, payment or administrative fees only as stated in the accepted policy, checkout or applicable law.
  • If an Owner cancels, cannot provide access, or supplies a space that is unsafe or materially different from the confirmed listing, the Renter may have rights to a refund or other remedy under the Booking Agreement and applicable law. SpaceFind may help arrange a refund, credit or suitable alternative but cannot guarantee a replacement space.
  • If the parties agree a booking change, the Platform may recalculate and collect or refund the price, fees, deposit and taxes. A change should be recorded through the Platform where that feature is available.
  • A refund is normally returned through the original payment route. Processing time depends on the payment provider and bank. For amounts paid directly to an Owner, the Owner remains responsible for paying the refund due.

11. Memberships and Owner plans

An Owner may offer a paid membership or recurring-access product through SpaceFind. The Owner is responsible for delivering the described access and benefits. SpaceFind provides the marketplace and may facilitate recurring billing. A membership does not guarantee that a particular date, time or space will be available unless its displayed terms expressly say so.

SpaceFind may also offer Owners commercial access plans that include specified Platform features, listing coverage, booking fees or other benefits. The plan page or purchase flow forms part of these Terms and will show the selected price, billing cycle, included features, limits and applicable booking or payment fees.

  • A paid membership or Owner plan renews automatically for the stated billing period until cancelled, unless the purchase flow says otherwise.
  • Cancellation normally takes effect at the end of the current paid billing period. There is no mid-period refund or credit for unused time except where required by law or expressly offered in the applicable purchase terms.
  • We will give at least 30 days' notice of a price increase or other material adverse change to a recurring SpaceFind plan or Platform-facilitated membership billing arrangement. The change will apply no earlier than a subsequent renewal, giving the affected subscriber an opportunity to cancel before it takes effect.
  • Membership benefits are personal, period-specific and non-transferable unless the displayed membership terms say otherwise. Misuse may result in suspension or cancellation, subject to applicable law and the accepted terms.
  • If an Owner archives or stops offering a membership, they remain responsible for benefits already sold or for providing the remedy due under the accepted membership terms and law.
  • Non-payment or the end of an Owner plan may remove plan features, change future Platform fees, return listings to an available standard arrangement or prevent new bookings. It does not erase obligations relating to confirmed bookings or amounts already due.

12. Contracts, damage, claims and insurance

SpaceFind may help Owners and Renters generate, exchange or digitally sign booking documents. Electronic signatures, timestamps, document records and integrity information may help evidence acceptance, but the agreement remains between the Owner and Renter. Each party should obtain its own legal advice where the arrangement requires it.

Owners are responsible for protecting their property and maintaining insurance appropriate to the space, activities and bookings they accept. Renters are responsible for damage, loss, excessive cleaning, overstay, unauthorised use or rule breaches caused by them or their guests to the extent provided by the Booking Agreement and law.

SpaceFind does not operate an Owner insurance or guaranteed damage-recovery scheme unless a specific product expressly says otherwise. We may provide a Renter claim or support route and may try to mediate a disagreement in good faith, but we do not inspect the damage, determine legal liability, compel payment or enforce the parties' contract. A signed contract does not make SpaceFind the property manager or enforcement body; the Owner and Renter remain responsible for enforcing their rights.

13. Directory previews, Booking Help and automated tools

SpaceFind may show preliminary directory or preview pages compiled from public, licensed or third-party information. A preview may be incomplete, out of date or not yet managed or verified by the relevant venue. It is not an offer or confirmation of availability. A person with appropriate authority may ask to claim, correct or remove it, subject to reasonable verification.

Booking Help may let a Renter ask SpaceFind to help identify or contact potentially suitable spaces. A request is an enquiry only, not a booking, quote or guarantee of availability. Information may be shared with relevant venues or providers as explained when the request is made and in our Privacy Policy.

SpaceAdvisor and other automated or AI-assisted features may suggest wording, configuration, prices, spaces or next steps. Their output may be incomplete or inaccurate and does not replace your own checks or professional legal, financial, property, safety or tax advice. You remain responsible for information you publish and decisions you make.

14. Calendars, integrations and third-party services

SpaceFind may connect with Google, Microsoft, Apple-compatible calendar feeds and other third-party services for payments, identity, maps, communications, analytics, storage, signing and Platform features. A third party's own terms and privacy notice may apply to your use of its service.

Calendar imports, exports and two-way synchronisation are convenience tools and can be delayed, duplicated, interrupted or affected by third-party permissions. Owners remain responsible for checking availability, avoiding conflicting bookings and keeping the SpaceFind calendar accurate. We are not responsible for a third-party service that we do not control, although we remain responsible for our own duties under applicable law.

15. Listing content and intellectual property

You retain ownership of original listing text, photographs, videos, reviews and other content you provide. You confirm that you have the rights and permissions needed to provide it and that our permitted use will not infringe another person's rights, privacy or confidentiality.

While your account or listing is active, you grant SpaceFind a non-exclusive, worldwide, royalty-free licence to host, store, copy, format, resize, adapt, translate, display, distribute and otherwise use that content as reasonably needed to operate, secure, improve and promote the Platform and the spaces available through it, including through search engines, social media, advertising, emails and other marketing channels.

After the relevant listing or account is removed, we will stop starting new marketing uses of its content within a reasonable operational period. We may retain copies where reasonably necessary for backups, security, fraud prevention, disputes, accounting or legal compliance, and cannot always recall material already printed, cached, indexed or distributed in an existing campaign. These limited retained uses do not allow us to begin a new campaign for a removed listing.

The SpaceFind name, logos, software, interface, designs, databases, scoring systems and Platform materials belong to SpaceFind or its licensors. You may not copy, reverse engineer, scrape, sell or commercially exploit them except as the Platform permits, the law allows or we agree in writing.

16. Reviews, messages and acceptable conduct

  • Reviews must reflect a genuine experience and be honest, relevant and respectful. Do not submit fake, manipulated or misleading reviews or offer an undisclosed incentive for a particular rating.
  • We may label, limit, investigate or remove content that we reasonably believe is false, abusive, discriminatory, unlawful, irrelevant, promotional, privacy-invasive or otherwise harmful. Moderation is not a guarantee that all content is accurate or appropriate.
  • Messages may be processed or reviewed for delivery, support, safety, fraud prevention, dispute handling and enforcement as described in our Privacy Policy. Do not publish another person's private contact, identity or payment information without a lawful reason.
  • Do not harass, threaten, discriminate against or mislead another User; arrange illegal or unsafe activity; upload malicious code; interfere with Platform security; create false bookings; abuse payments; or scrape or automate access without permission.
  • Do not move a SpaceFind-introduced opportunity off the Platform for the purpose of evading fees or safeguards that would otherwise apply. This does not prevent lawful direct communication needed to manage a genuine booking or relationship.

17. Suspension, termination and account closure

We may request corrections or restrict, pause, suspend or close an account, listing, feature, booking capability or payout where reasonably necessary because of a breach, non-payment, incomplete verification, fraud, chargeback, safety concern, unlawful activity, repeated complaints, third-party instruction or risk to Users or the Platform. We may act immediately where delay could create harm, fraud or legal exposure, and will give notice or reasons where reasonably practicable and lawful.

You may stop using SpaceFind and request account closure, subject to confirmed bookings, active memberships, unresolved disputes, amounts due and records that must be retained. Closure does not cancel rights or obligations that arose beforehand. Sections intended by their nature to continue—including payment, tax, intellectual property, disputes and liability terms—remain effective.

18. Complaints, disputes and SpaceFind's responsibility

If you have a complaint about the Platform, contact support@spacefind.co.uk with the relevant booking or listing information. If an Owner and Renter disagree, they should first communicate clearly and preserve relevant evidence. SpaceFind may try to help the parties communicate or reach a practical resolution, but is not a court, arbitrator, insurer or enforcement body and does not guarantee an outcome.

The Platform is provided with reasonable care and skill where required by law, but its availability and every User-generated listing cannot be guaranteed. To the extent permitted by law, SpaceFind is not responsible for the condition or operation of a space, a User's acts or omissions, the suitability of a booking, lost belongings, or losses caused by information or services outside our reasonable control.

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability or statutory right that cannot lawfully be excluded or limited.

If you use SpaceFind as a consumer, we are responsible for losses that are a foreseeable result of our breach of these Terms or failure to use reasonable care and skill, but not for business losses or losses that were not foreseeable. Your mandatory consumer rights remain unaffected.

If you use SpaceFind in the course of business, then, to the fullest extent permitted by law, SpaceFind is not liable for indirect or consequential loss, or loss of profit, revenue, business, opportunity, anticipated savings, goodwill, reputation or data. Subject to liabilities that cannot be limited, our total liability arising from the Platform or these Terms is limited to the greater of £500 and the SpaceFind Platform fees paid by you in the 12 months before the event giving rise to the claim.

19. Your responsibility to SpaceFind

You are responsible, to the extent permitted by law, for reasonably foreseeable loss caused by your breach of these Terms, negligence, unlawful conduct, content or misuse of the Platform.

If you use SpaceFind in the course of business, you will indemnify SpaceFind and its directors, employees and contractors against third-party claims, losses, liabilities and reasonable costs arising from your listing or operation of a space, your use of a space, your content, your breach of a Booking Agreement or these Terms, or your violation of law or another person's rights, except to the extent caused by SpaceFind's own breach, negligence or unlawful conduct. An Owner's responsibility includes claims arising from lacking authority, required permissions, safety measures or appropriate insurance.

20. Events outside reasonable control

Neither SpaceFind nor a User is responsible for delay or failure caused by an event genuinely outside their reasonable control, except that this does not automatically remove payment or refund rights that have already arisen. The affected party should notify the other parties promptly and take reasonable steps to reduce disruption. The accepted cancellation policy and applicable law determine any resulting booking refund unless the parties agree a more generous resolution.

21. Changes to these Terms

We may update these Terms as the Platform, law or our operating model changes. We will publish the updated version and its effective date. Where a change is material, we will take reasonable steps to notify affected Users in advance and, where practicable, give at least 30 days' notice. A shorter period may be necessary for a legal, regulatory, security or fraud-prevention reason, or for a change that benefits Users without reducing existing rights.

An update does not retrospectively change an existing Booking Agreement unless required by law or validly agreed by the Owner and Renter. If you continue to use the Platform after updated Terms take effect, the updated Terms apply to that continued use. If you do not accept a material update, you may stop using the Platform and cancel a recurring SpaceFind plan before the change takes effect, subject to existing obligations.
